Most society clubhouse parties go wrong for the same three reasons: the slot is shorter than people think, outside staff get stuck at the gate, and nobody plans the clearing up. Here is a checklist to run through before you book your date, based on the functions we do in society clubhouses every week.
Before You Pay the Clubhouse
- What are the exact hours of the slot? Ask for setup time too, not just party time. A four-hour slot with no setup access is really a two-hour party.
- What is the security deposit, and what gets deducted from it? Usually damage and cleaning.
- Is outside catering allowed? Some societies have a panel of vendors or charge a fee for outside caterers.
- How many guests can the hall hold, and can guests from outside the society be brought in?
- What is the noise cut-off time, and is a DJ allowed at all or only a sound system?
Gate and Staff Entry
This is where most delays happen. Send your RWA or guard desk the list of staff names, the vehicle number and the arrival time a day in advance. We provide those details for every booking, so our team is cleared before they reach the gate rather than standing outside with your food in the van.
Also check whether the service lift can be used, and whether there is a separate entrance for equipment. Carrying counters through the main lobby during a party is nobody’s idea of a good evening.
Kitchen, Power and Cooking
- Is open flame or gas cooking permitted inside? Many societies say no, in which case we prepare in our kitchen and finish live at the counters.
- Is there a pantry or washing area, or should everything be brought in and taken back?
- Enough power points for lights, sound and counters? If not, a generator avoids a tripped board mid-function.
Décor Rules Worth Checking
Ask whether anything can be fixed to the walls, whether helium balloons are allowed near the ceiling, and whether candles or sparklers are permitted. We work with free-standing frames where fixing is not allowed, so the décor still looks built-in without a single nail in the wall.
Leaving the Hall Clean
Your deposit usually depends on this. Cleanup is part of our booking: counters, waste, decoration material and furniture all go back with us, and the floor is swept before we leave. Agree the clearing time with the clubhouse in advance so nobody is rushing at midnight.
